The membership period runs from 1 September to the 31 August each year (unless your school has accessed the 4 for 3 term offer) and can be accessed for a set annual fee (relative to your chosen membership level) regardless of what point in the year you join. We encourage you to join as early as possible within the membership period to fully maximise your membership. Membership will be automatically renewed on an annual basis on the 1 September (unless you inform us otherwise). If you renew as part of a group of schools your membership will be renewed with your cluster co-ordinator after discussions with a member of our Development team.
The Youth Sport Trust encourages all schools to maximise their membership. Our team will support you where we can and will send regular reminders in our newsletters. Regrettably, unused membership benefits are non-refundable and cannot be transferred or rolled over. Exceptions may apply in extenuating circumstances. Circumstances will be reviewed by the Membership Services Manager but unfortunately refunds/transfers cannot be guaranteed.
We reserve the right to increase the cost of membership and all the associated (member or non-member) benefits throughout the academic year.
Rest assured that this does not affect organisations that have already joined the Youth Sport Trust membership network and paid for membership benefits or non-members that have paid for membership benefits, apart from any benefits purchased after the price increase has come into effect. We will make every effort to communicate these changes to our membership network in advance of any changes coming into play.
Payment is due within 30 days of the invoice date. The invoice is typically produced 24 hours after the membership or membership benefit has been ordered by the school or contact, unless a purchase order number has been provided. The term membership benefit(s) refers to all resources, professional learning places, newsletters, online resource library, digital and hard copy resources and athlete visits requested by a member school or member contact, inclusive of the core membership level or purchased in addition to the core membership level.
Once you have placed an order with us for a full or half day Professional Learning Event or a 1-hour Workshop we will support you with your booking and help you source what you need, e.g. a tutor, athlete or consultant. For us to support you with your bookings we kindly ask for a minimum of eight weeks' notice. Please be aware that Development Manager Visits and Athlete Mentor Visits are subject to availability during peak times and will be allocated on a first come, first served basis. Unfortunately, booking enquiries made with less than eight weeks lead time cannot be guaranteed but our team will always endeavour to support you and work with you to explore possibilities.
For reference purposes, our peak times are historically January, March, May and June.
Cancellation – for professional learning events and membership packages
We accept that from time to time it may be necessary for you to cancel a full or half day Professional Learning Event, a 1hr Workshop or Development Manager Visit. To minimise loss to the charity we ask that notice to cancel a membership benefit is submitted in writing from your school's membership lead contact and that responsibility remains with you to ensure that your written notice is received by the Youth Sport Trust. The notice period required for cancelling your full or half day Professional Learning Event, a 1hr Workshop, Athlete Mentor Visit, Development Manager Visit is just two weeks before the membership delivery is due to take place. Regrettably, cancellations given with less than two weeks' notice may be subject to administration costs. We kindly ask that you remain responsible for informing your delegates/schools of the cancellation. We shall not be liable for any additional loss, travel expenses, teacher release or damage resulting from such cancellations or changes made.
For the cancellation of a Membership Package (see “What level of membership is right for my school”) where physical resources have been sent by the Youth Sport Trust, they must be returned unused for a refund to be considered.
If more than two weeks' notice is provided, your full or half day Professional Learning Event, a 1hr Workshop, Athlete Mentor Visit, Development Manager Visit can be cancelled without penalty. The full or half day Professional Learning Event, a 1hr Workshop, Athlete Mentor Visit, Development Manager Visit can be rescheduled, as long as sufficient lead in time is given. In unforeseen circumstances, we accept that some membership benefits may have to be cancelled or rescheduled by the Youth Sport Trust at short notice. We pledge to only do this as a last resort and will work with you to reduce impact.
Professional Learning Event Objectives
It is your responsibility to ensure that your delegates fully understand the Professional Learning Event objectives. If you need support, please email membership or contact your Regional Support Assistant.
Delegate Numbers – for professional learning events
The standard minimum delegates for a workshop or professional learning event is eight. Please contact your Regional Support Assistant or email membership for further information.
Please be aware that maximum delegate numbers do apply. The maximum number of delegates per event is 25. A second deliverer will be required for more than 25 delegates and charges will apply.

Copyright and all other intellectual property rights for all materials provided in relation to the Professional Learning Event and through Membership resources shall remain the property of the Youth Sport Trust. You agree not to reproduce, sell, hire or copy educational materials in whole or part and not to use such materials except for the purposes of post-event reference and school development without signed consent from the Youth Sport Trust.
Deployment of Athlete Mentors
The Athlete Mentor team is made up of past and present athletes who have all competed at an elite level within their chosen sport and many have experience of major events including Olympic, Paralympic and Commonwealth Games as well as World and European Championships. Athletes are deployed regionally and it is with regret that we are unable to allocate named athletes on request. Requests for an Athlete Mentor Visit must be made 6 weeks in advance and any cancellations must be made in writing no less than 2 weeks in advance of when the visit is due to take place.
Booking your place for a School Open Day
The booking window for a School Open Day will shut 2 days before the date of the event. We advise that you book early to avoid disappointment.
Notice period for cancelling your place

To reduce loss to the charity we ask that notice to cancel your place is submitted in writing and that responsibility remains with you to ensure that your written notice is received by the Youth Sport Trust. The notice period for cancelling your attendance at a School Open Day is just 1 week before the Professional Learning Event is due to take place. Regrettably, cancellations given with less than one weeks' notice may be subject to administration costs.
Please note that if you do not submit sufficient notice to cancel your place at an event and you fail to attend the event, you may be subject to one of the following, depending on your circumstances:
If your place at the Professional Learning Event was booked as a result of redeeming a free place, inclusive of your core membership level, you will forfeit your free place and, in order to reduce loss to the charity, may be subject to administration costs.
If your place at the Professional Learning Event was purchased either in addition to membership or as a non-member, you will forfeit your place and the event fee will not be refunded.
Please note that the above applies in all but extenuating circumstances. Circumstances will be reviewed by the Membership Services Manager but unfortunately refunds/transfers cannot be guaranteed.
